CHALLENGES

Simpson provides free educational workshops and presentations across the nation at various Simpson and industry locations. The record keeping for these events in order to offer various continuing education credits requires diligent management of attendance, certificates and reporting to agencies. While Simpson has deployed a comprehensive LMS to manage the function, attendance information was gathered manually via a traditional sign-in sheet that needed to be returned to an administrator for processing appropriate status. Closing out the class triggers automated communication and access to online tests, resources and certificates. With nearly 2000 live events annually, this is a significant workload on the training administrators.

The old process relied on too many people and had delays in some cases as long as 2 weeks until a class was closed out properly. These delays did not meet the Company’s nor the attendee’s expectations for a Simpson training event, and would tarnish an otherwise excellent experience. Adding to the complexity is the sheer number of accrediting agencies that Simpson is registered with. Each agency has differing reporting requirements and timeliness and accuracy are always necessary.

SOLUTION

12th Wonder built an integrated e-sign-in application that works on any device, allowing training attendees the ability to “sign-in” and “sign-out” as required at any laptop, training kiosk or even smart phone. This process allows for edits and additions as walk-ins to be registered on site. With a simple click of a button, the instructor can close out their class in the LMS instantly, automatically triggering post event actions without any additional administrator support.

RESULTS

The new e-sign-in sheet yielded 3 principle benefits.

First, this process reduced the administrative work load for these events by 90%, estimated at $58k annually. Second, the tool provides improved customer service to attendees, who now receive their attendance confirmation email and access to the online tests, resources, and certificates before they even reach their desks. This allows improved testing results and user satisfaction. Finally, having classes closed out at the time of completion, allows data reporting accuracy to state agencies to be more reliable, as old event aren’t missed due to a lack of being recorded in a timely manner.
